Staff Meeting

November 2, 2007

 

In attendance: George Mallison, V.S.M.;  Frank Pawelak, Special Advisor to VSM; Dave Russell, Hospitality Chairman; Bill Currie, Provincial Souvenir Book Chairman; Howard Sheppard, Special Advisor; Ken Unterbrink, Church Director; Bob Godi, Provincial Training Director;   Ken Watterson, Provincial Webmaster; Dave Buick, Special Assistant to VSM;  Dennis Henderson, Provincial Secretary.

George Mallison, Vice Supreme Master: Meeting Called To Order  5:57 p.m.

     We had a lot of really good comments on our Provincial meeting.  Thanks to everyone for their efforts.

     Father Swiat was also very impressed with the entire weekend.

     The Serving Those Who Served program is very important and we must continue it.

 

1.     Facilities

a.     This year check in was much improved.

b.     Registration went well.

c.      Not many complaints on the rooms.

2.     Banquet

a.     We were down about 40 meals from the previous year.

b.     Most everyone liked the meal in the family style.

c.      Howard did a wonderful job on seating.

d.     Program was short and well run.

e.     Entertainment was nice thanks to Frank.

f.       Raffles went quickly the potato chips went well.

3.     Mass

a.     Father was extremely happy with how the masses went. Thanks to Ken for his efforts on this.

b.     The Memorial handout was very nice, thanks to Dennis.

c.      George would like everyone who is in regalia to march in and sit with their wives. This will have to be scheduled for next year.

d.     The banquet flowers looked good on the altar for Sunday mass.  Could we use some flowers for the Saturday mass? (Cindi Currie)

4.     Hospitality

a.     We went through a lot of product this year.

b.     Dave should re-evaluate the hours of being open for next year to see if we need any changes.

c.      Thanks to Dave and Ann for their hard work on this.

5.     Training Sessions

a.     These went well and are getting better every year.  Thanks to Bob.

b.     Do we want to add anything more to this?

c.      196 Went through the training this year.

d.     Possible new subjects: Proper use of the color corps, Blessing of the Regalia, etc.

e.     Could we possibly have enough time allow attendees go to 2 training sessions?  George feels we must use our limited time to have a valuable open business meeting.

6.     Souvenir Book

a.     It turned out very successful this year.  Thanks to Bill and George for a job well done.  Proceeds allow George to compensate the staff for expenses.

b.     We may have missed some opportunities for additional ads. The new navigator lists were not all up to date so the requests for ads went to the wrong person in some cases.

c.      George is considering when the best timing is for sending out the ad requests.  We do not want to compete with the State Convention ad books.

7.     Lobby

a.     It was set up fairly well.  Selling tables worked well.  Raffles MUST be pre-approved by the Vice Supreme Master.

b.     The web-site display was very well accepted.

c.      The story boards are also popular. Let’s do it again next year.

8.     Master’s Meeting

a.     Facility was adequate.

9.     Business Meeting

a.     The VAVS presentation was fabulous and very well received.

b.     The Vice President of Fraternal Services at Supreme is George Hanna.  He may be our main speaker next year.

10.            Ladies/Jan Mallison

a.     The ladies program went very well and had lots of positive feedback.

b.     The facilities worked well and they had plenty of help but it would be nice to have greeters.

c.      The bagels were a little dry. More cream cheese next year.

d.     Entertainment was excellent this year.

e.     A possibility for next year may be to have Fr Larry Delaney speak.

f.       Jan is looking for donations for next year.

11.            The Former Master’s Meeting

a.     Rooms were not huge but adequate.

b.     Helps create fraternalism.

12.            Announcements and Publicity

a.     Will be sending out the first items to Masters after 1st of the year.

13.            Color Corps

a.     Utilize them on Sunday morning.

  1. Staff provisions

a.     Entire staff needs to make their own reservations at the hotel. George will have to release the excess rooms soon. Please do it soon.

b.     Banquet will be provided for the staff.

c.      Depending on ads there will be one or two nights provided for staff.

2.          Registration on Friday will begin at 3:30 p.m.

a.     Early registration for Dennis, Howard, Dave, & George. 

b.     Let George know if anyone needs early registration by e-mail.

c.      Hospitality with only drinks and peanuts would be nice if available by 3:30 p.m.

d.     Howard will handle the tickets to the banquet.

e.     Registration will reopen after mass on Saturday 9:15 – 11:00 a.m.

f.       George will announce at the Provincial meeting that the registration table will reopen for those that may still need to pick up their banquet tickets.

3.          George will be meeting with the Masters privately from 3—4 ish.  He will not be available at that time.

4.          Ladies raffle will use colored tickets and will sell their tickets in the lobby.

5.          Banquet

a.     Same place as last year.

b.     Last year we paid for 420 meals.

c.      Cut off date for banquet is Sept. 20th.

d.     Menu will be family style, tossed salad, rigatoni, cheese ravioli, sliced top round of beef, baked cod, red skinned potatoes, hot caramel apple pie.

e.     Table decorations by the ladies.

f.       Seating the same as last year.  VIP honors table. No head table.

g.     VIP reception on Saturday evening.  The staff is invited.

h.    Opening prayer, posting of colors, meal.

i.       Master of Ceremonies to be DH.

j.       Ken to read the deceased names at the Saturday mass.

k.     Sunday mass to have everyone wear regalia.

l.       Banquet we will have groups announced such as Former Masters, the two state deputies their ladies and the VSM and his lady will be introduced individually.

m.  Awards will include the newsletter and the Sir Knight of the Year.

n.    The State Deputies will bring greetings and the VSM will bring his greetings.

o.     Entertainment will be about 20 to 30 minutes.

p.     Master’s raffle and then the Ladies raffle.

q.     Master’s raffle will be for a bag of chips.

r.      Cash bar will be open before and during the banquet.  It will then close for the evening.

6.          Mass for Saturday & Sunday

a.     Memorial Mass will have a partial list of those deceased read aloud. This will be done by Ken Unterbrink.

b.     Masters will be doing either the readings or the intercessions for the two masses. Saturday dress will include a sport coat with tie optional.

c.      Music will be provided by the husband & wife from last year.

d.     Honor guard will be coordinated by Glenn Barry at both masses.

e.     Flowers for the mass to be acquired by Ken.  About 4 would be fine.

f.       Regalia on Sunday for everyone.

7.          Hospitality Room

a.     Will close about 5:00 for meal on Friday evening and will reopen about 9:00 p.m.

b.     On Saturday evening when we run out of any liquor we stay out.

c.      Dave has lots of help lined up.

8.          Provincial meeting

a.     Will be held in the hospitality room.

b.     Starts at 9:15 a.m.

c.      There will be coffee and donuts.

d.     State Officers invited at 10:15 a.m.

e.     Minutes will be taken.

f.       Friars are always welcome.

9.          Training

a.     Will have one breakout with 3 different classes

b.     Color Corp to be done by Glenn Barry; Leadership to be done by Dick Wysong; and Financial to be done by Bob Godi.

c.      Will have a mike in each room this year.

d.     We will require a sign in sheet this year including whether the person is attending the banquet.  How many walk ins do we have.

10.     Blessing of the Regalia and new men by Frank Pawelek at 12:45 in the lobby.

11.     General Business Meeting

a.      1:00 p.m. start.

b.     Posting of colors

c.      Guest Speaker for 30 minutes. Former VSM from Washington DC a retired marine colonel. He will be talking about the volunteer services.

12.      Facilities

a.     Display boards will be up again this year.

b.     Will have a demonstration of the web site running.

c.      Breakfast will be open at 6:30 a.m.

d.     Snack bar will also be open.

e.     Howard will have a sales table.

f.       There will be a table for the ladies raffle items.

g.     Former master’s wives will also need a table for sales.

13.     Ad Book

a.     We have about 25 ads total.  This is about $2000.00.

b.     We are FAR BEHIND last years ads at this time.  We MUST give a big push NOW.

c.      Printing cut-off date is September 12th.

14.     Friday Night VIP Dinner

a.     State & Provincial chaplains, state officers, masters, VSM, and their ladies.

b.     There will be a meal but no program.

15.     Breakfast on Saturday and Sunday on your own.

16.     Friday evening meal on your own.

17.     Picture after Sunday mass.

18.     Check out time is 11:00 a.m.

George Mallison, Vice Supreme Master: Meeting Called To Order 7:58 p.m.

  1. George Mallison, Vice Supreme Master
    1. Glenn Barry will be taking over the position as Provincial Marshall. Dave Buick will be assisting Glenn.
    2. Provincial Meeting will be September 28, 29, & 30.
    3. Mailing will take place in July after the new positions in the Assemblies.  This will include request for ads and reservations for Provincial meeting.
    4. Dennis will put together a form for reporting the Assembly’s deceased Sir Knights in the province.  This form will be made available on the website.
    5. We will be going back to the Sterling Inn.  Staff is to make their own reservations.  Let them know that you are with the Knights. George intends to assist in the staff expense of the room.
    6. Registration will be run by Howard and assisted by Dennis. Open from 3:30 p.m. to 6:00 on Friday. Reopen on Saturday morning after mass.
    7. We intend to again have the Master’s raffle.  50% goes back to Masters the rest goes to Vice Supreme Master. There is a question regarding the legality of using liquor as raffle prizes. We will need 7 ticket colors for the 6 masters and the ladies.
    8. Banquet

                                                             i.      Same facility as last year.  It holds 900. 

                                                           ii.      We will have a cut-off for banquet tickets.

                                                        iii.      Menu will be determined by VSM next week during his visit to the hotel.

                                                          iv.      They have suggested using a family style.  It would be less expensive but there is some concern regarding waste.

                                                            v.      Table decorations will again be handled by the ladies.

                                                          vi.      Seating the same as last year.  No head table.  There will be honors tables. We would like to mix people up and get to know others.  This is the cornerstone of fraternity.

                                                       vii.      VIP reception will be like last year.  They will get an invitation card. It will be held in the VSMs hospitality room just prior to the banquet.

                                                     viii.      Opening Prayer and Posting of Colors.

                                                         ix.      Meal-Province will provide the staff and their ladies their meals.

                                                           x.      Master of Ceremonies—Not chosen as of yet.

                                                         xi.      Only State officers, Friars, Chaplains, Masters and VSM will be announced.

                                                      xii.      Program to be very short; 45 minutes at most.

                                                             i.      Memorial Mass on Saturday A.M.

                                                           ii.      Sunday Mass on Sunday A.M.

                                                        iii.      Facility requirements for masses needed.

                                                          iv.      Music and handouts for singing.

                                                            v.      Honor Guard at both masses, may ask 4 Masters to bring their color guard.

                                                          vi.      Handouts

                                                       vii.      Flowers for mass and the head table.

                                                     viii.      VIP seating both on Saturday and Sunday. We must have enough spaces reserved for them in advance.

                                                         ix.      Everyone in regalia on Sunday.

                                                           x.      There will be no installations of Masters this year.

    1. Hospitality Room

                                                             i.      Dave will have the same facilities.

                                                           ii.      We will ask for donations of food.

                                                        iii.      Open times: Friday 9-12; VIP 4:30 – Banquet; Open after Banquet until ?

                                                          iv.      Help: we should be o.k.

    1. Master’s Provincial Meeting

                                                             i.      Masters will meet about 3:00 p.m. on Friday privately with VSM.

                                                           ii.      The Master’s meeting will take place after Saturday mass.

                                                        iii.      Attending will be the Masters, the VSM, and the state officers invited in later in the meeting.

    1. Training

                                                             i.      One break-out session in the morning.

                                                           ii.      We may get a guest speaker from Supreme for our Business meeting.

                                                        iii.      If we do not get a guest speaker we may have two breakouts.

                                                          iv.      Possible subjects are Leadership; Financial; Color Corps.; Ceremonials (new degree info, blessing of regalia, chalice ceremony, installation of officers, renewal of vows, wake services).

                                                            v.      It is important to allow time for Q&A at the end of a presentation.

                                                          vi.      Ken U. will look into a wireless mike for training sessions.

                                                       vii.      Should we video the training sessions?

                                                     viii.      Time & Length will remain the same as last year.

                                                         ix.      Trainers to be selected.

                                                           x.      Non-registered attendees in classes may be asked to pay a nominal fee.

    1. General Business Meeting

                                                             i.      Same facility

                                                           ii.      Supreme guest possible.

    1. Former Master’s Meeting

                                                             i.      Same place and time as last year.

    1. Facilities

                                                             i.      Project boards were popular last year.  Let’s do it again.

                                                           ii.      Larry Prevo will set up a live web-site demonstration.

                                                        iii.      Signage was different on our programs.  Confusion reigned.

                                                          iv.      Howard & Lady Betty will need a display table for retail.

                                                            v.      Tables needed for ladies raffle.

    1. Ladies Program

                                                             i.      Will happen about 20 minutes after mass.  Approximately 9:30 a.m.

                                                           ii.      Will set up for 200 ladies.

                                                        iii.      Meal will be a continental breakfast.

                                                          iv.      Program will possibly be two young girls from Ohio who play violin.

                                                            v.      Favors for ladies. Perhaps cards tied together with a ribbon.

                                                          vi.      Ladies raffle will follow the Master’s raffle.

    1. Program Book

                                                             i.      Ads will be $100.00 for a full page.  $50.00 for a half page. $25.00 for a quarter page. Inside front or first page will be $175.00.

                                                           ii.      If an assembly sells 3 full page ads they will receive their own full page ad free.

                                                        iii.      Editing should be much less this year with the same printer.

                                                          iv.      Deadline date for printing is September 7th.

    1. Friday night VIP dinner

                                                             i.      Run by the state officers.

                                                           ii.      Only attendees are state officers, Masters, VSM and Former VSMs and their ladies.
